Purpose
The purpose of this Equality, Diversity & Inclusion (EDI) Policy is to promote a working environment in which all individuals are treated with dignity, fairness and respect, and are provided with equal opportunities regardless of their background or personal characteristics. AIO Legal Services is committed to fostering an inclusive culture that values diversity, encourages mutual respect and ensures that all individuals are able to contribute and reach their full potential.
The firm recognises that equality, diversity and inclusion are fundamental to the delivery of high-quality legal services, effective governance and public confidence in the legal profession. This Policy establishes the principles and standards that govern the firm’s approach to equality, diversity and inclusion in all aspects of its business activities.
The objectives of this Policy are to:
- promote equality of opportunity throughout the firm;
- prevent unlawful discrimination, harassment, victimisation and bullying;
- create an inclusive working environment that respects individual differences;
- ensure fair and objective decision-making in recruitment, engagement, promotion, training and all other business activities;
- provide legal services that are accessible, respectful and responsive to the diverse needs of clients;
- comply with applicable legal, regulatory and professional obligations;
- encourage a culture of professionalism, integrity and respect; and
- promote continuous improvement in equality, diversity and inclusion across the firm’s operations.
This Policy forms part of the firm’s wider governance and compliance framework and shall be read alongside the firm’s Complaints Handling Policy, Data Protection Policy, Compliance Monitoring Policy and all other relevant policies and procedures.
Scope
This Policy applies to all activities undertaken by AIO Legal Services and to every individual acting on behalf of the firm, regardless of their role, status or contractual relationship.
The Policy applies to:
- the Director;
- the Compliance Manager;
- consultants;
- employees;
- temporary staff;
- agency workers;
- contractors;
- volunteers;
- work experience students;
- outsourced service providers where appropriate; and
- any other individual representing or acting on behalf of the firm.
The principles contained within this Policy apply throughout all aspects of the firm’s operations, including:
- recruitment and selection;
- terms of engagement and employment;
- remuneration and benefits;
- training and professional development;
- supervision and performance management;
- promotion and career progression;
- allocation of work and responsibilities;
- client care and service delivery;
- procurement and engagement of suppliers;
- business development and marketing;
- workplace behaviour and professional conduct;
- complaints handling;
- termination of employment or engagement; and
- all other business activities undertaken by the firm.
All individuals are expected to comply with this Policy, promote equality, diversity and inclusion through their conduct, and contribute to maintaining a respectful, professional and inclusive working environment. Failure to comply with this Policy may result in disciplinary action, termination of engagement, regulatory reporting where appropriate, or any other action considered necessary to protect the interests of the firm, its clients and its personnel.
Policy Statement
AIO Legal Services is committed to fostering a workplace and professional environment founded upon equality, diversity, inclusion, dignity and mutual respect. The firm believes that every individual should be treated fairly, valued for their unique skills and experiences, and provided with equal opportunities to contribute and succeed, free from unlawful discrimination, harassment, victimisation or bullying.
The firm is committed to ensuring that decisions affecting employees, consultants, contractors, clients, suppliers and all other individuals with whom it interacts are made fairly, objectively and solely on the basis of merit, qualifications, competence, experience and legitimate business considerations.
AIO Legal Services does not tolerate discrimination, whether direct or indirect, harassment, victimisation or any other conduct that is unlawful or inconsistent with the values of the firm. Such behaviour will be addressed promptly and may result in disciplinary action, termination of engagement or referral to the appropriate regulatory or legal authority where appropriate.
The firm is committed to complying with the Equality Act 2010, the Legal Services Act 2007, the CILEx Regulation Code of Conduct, and all other applicable legal and regulatory requirements relating to equality, diversity and inclusion.

All individuals acting on behalf of AIO Legal Services share responsibility for promoting equality, diversity and inclusion through their conduct, treating others with professionalism and respect, and contributing to a working environment that reflects the firm’s commitment to fairness, integrity and excellence.
The Director shall ensure that this Policy is implemented effectively, communicated throughout the firm, monitored periodically and reviewed regularly to ensure continued compliance with legal, regulatory and professional requirements and to promote continuous improvement in equality, diversity and inclusion.
Equality, Diversity and Inclusion Principles
AIO Legal Services is committed to embedding the principles of equality, diversity and inclusion throughout its governance, decision-making, employment practices and the delivery of legal services. These principles guide the firm’s culture, professional standards and relationships with clients, colleagues, business partners and the wider community.
The firm shall be guided by the following principles:
- every individual shall be treated with dignity, courtesy, fairness and respect;
- decisions shall be made objectively, consistently and on the basis of merit, competence, qualifications and legitimate business considerations;
- equality of opportunity shall be promoted in all aspects of recruitment, engagement, training, development, promotion and the provision of legal services;
- diversity shall be recognised as a valuable asset that strengthens the quality of legal advice, enhances decision-making and supports innovation;
- an inclusive working environment shall be maintained in which individuals feel welcomed, respected, supported and able to contribute fully without fear of discrimination or exclusion;
- unlawful discrimination, harassment, bullying, victimisation and any other inappropriate conduct shall not be tolerated under any circumstances;
- reasonable adjustments shall be made where required to remove barriers and enable individuals to participate fully in employment, professional activities and access to legal services;
- clients shall receive legal services that are fair, accessible, respectful and free from unlawful discrimination;
- confidential concerns relating to equality, diversity or inclusion shall be investigated promptly, fairly and without retaliation against any individual who raises a genuine concern;
- policies, procedures and business practices shall be reviewed periodically to identify and remove unnecessary barriers to equality and inclusion;
- equality, diversity and inclusion considerations shall be integrated into the firm’s governance, risk management and compliance framework; and
- the firm shall promote continuous learning and awareness to ensure that all personnel understand their responsibilities and contribute to maintaining an inclusive and respectful professional environment.
The Director shall promote these principles through leadership, decision-making and professional conduct, while all individuals acting on behalf of AIO Legal Services are expected to uphold these principles in their day-to-day activities and interactions with clients, colleagues and third parties.
The firm shall periodically review the effectiveness of its equality, diversity and inclusion arrangements and take appropriate steps to strengthen its policies, procedures and working practices, ensuring continued compliance with the Equality Act 2010, the CILEx Regulation Code of Conduct, and all other applicable legal and regulatory requirements.
Equality in Client Service Delivery
AIO Legal Services is committed to providing legal services that are fair, accessible, professional and free from unlawful discrimination. Every client shall be treated with dignity, courtesy and respect, regardless of their personal characteristics, background or circumstances.
The firm shall ensure that clients are not treated less favourably on the grounds of any protected characteristic under the Equality Act 2010, including age, disability, gender reassignment, marriage and civil partnership, pregnancy and maternity, race, religion or belief, sex, or sexual orientation.
In delivering legal services, the firm shall:
- provide equal access to legal services without unlawful discrimination;
- treat all clients fairly, impartially and with respect;
- make decisions based solely on the legal merits of each matter and the firm’s professional obligations;
- communicate with clients in a clear, respectful and professional manner;
- take reasonable steps to identify and remove barriers that may affect a client’s ability to access the firm’s services;
- provide reasonable adjustments where required by law to accommodate the needs of clients with disabilities or other specific requirements;
- respect cultural, religious and personal differences where consistent with the firm’s legal and professional obligations;
- maintain the confidentiality and privacy of all client information in accordance with applicable legal and regulatory requirements; and
- ensure that complaints relating to discrimination, accessibility or unequal treatment are investigated promptly and fairly in accordance with the firm’s Complaints Handling Policy.
The firm shall ensure that its client-facing documents, communication methods and service delivery arrangements are reviewed periodically to promote accessibility and inclusivity wherever reasonably practicable.
Where a client requires reasonable adjustments, the firm shall consult with the client to identify appropriate measures that enable effective access to legal services while maintaining the integrity of the legal process and complying with applicable legal and regulatory obligations.
All individuals acting on behalf of AIO Legal Services are expected to promote equality, diversity and inclusion in their dealings with clients and third parties. Any conduct that constitutes unlawful discrimination, harassment, victimisation or any other form of inappropriate behaviour towards a client shall be treated as a serious disciplinary matter and may result in regulatory reporting where appropriate.
The Director shall periodically review the firm’s client service arrangements, complaints data and client feedback to identify opportunities to improve accessibility, promote equality of opportunity and ensure that AIO Legal Services continues to provide legal services that are inclusive, professional and compliant with the Equality Act 2010, the CILEx Regulation Code of Conduct, and all other applicable legal and regulatory requirements.
Bullying, Harassment and Victimisation
AIO Legal Services is committed to maintaining a professional, inclusive and respectful working environment in which every individual is treated with dignity and courtesy. The firm adopts a zero-tolerance approach to bullying, harassment, victimisation and any other form of unacceptable behaviour that undermines an individual’s dignity, wellbeing or ability to work effectively.
Bullying, harassment and victimisation are unacceptable regardless of whether they occur between colleagues, managers, consultants, contractors, clients, suppliers or any other individual connected with the firm’s activities. Such conduct may constitute a breach of the Equality Act 2010, the CILEx Regulation Code of Conduct, and the firm’s professional and ethical standards.
For the purposes of this Policy:
- Bullying includes offensive, intimidating, malicious or insulting behaviour, or the misuse of power intended to undermine, humiliate or injure another person.
- Harassment means unwanted conduct related to a protected characteristic, or conduct of a sexual nature, which has the purpose or effect of violating an individual’s dignity or creating an intimidating, hostile, degrading, humiliating or offensive environment.
- Victimisation occurs where an individual is subjected to a detriment because they have made, supported or intend to make a complaint or allegation relating to discrimination, harassment or another protected matter.
Examples of prohibited conduct include, but are not limited to:
- offensive, abusive or intimidating language;
- discriminatory remarks or stereotypes;
- unwanted physical, verbal or non-verbal conduct;
- threats, humiliation or deliberate exclusion;
- cyberbullying or inappropriate conduct through electronic communications;
- retaliation against an individual for raising a genuine concern; and
- any conduct that creates an intimidating, hostile or offensive working or client environment.
All individuals acting on behalf of AIO Legal Services are expected to treat others with professionalism, courtesy and respect at all times. Any allegation of bullying, harassment or victimisation shall be investigated promptly, impartially and confidentially.
Where an allegation is substantiated, the firm shall take appropriate corrective action, which may include disciplinary action, termination of engagement, removal from client matters, regulatory notification or referral to law enforcement authorities where appropriate.
Reporting Concerns
AIO Legal Services encourages all individuals to report concerns relating to discrimination, bullying, harassment, victimisation or any other conduct that may be inconsistent with this Policy. Concerns should be raised as soon as reasonably practicable to enable the firm to investigate the matter promptly and take appropriate action.
Concerns may be reported to the Compliance Manager or, where appropriate, directly to the Director, particularly where the concern involves the Compliance Manager or where independent escalation is considered necessary.
Upon receiving a report, the firm shall:
- acknowledge the concern promptly where appropriate;
- treat the matter seriously and confidentially;
- conduct a fair, impartial and proportionate investigation;
- provide individuals involved with an opportunity to present relevant information;
- take appropriate interim measures where necessary to protect those involved;
- determine appropriate corrective or disciplinary action where required; and
- maintain appropriate records of the investigation and its outcome.
The firm shall take all reasonable steps to protect individuals who raise concerns in good faith from retaliation, victimisation or any other adverse treatment. Any person who retaliates against an individual for making a genuine report or participating in an investigation may be subject to disciplinary action and, where appropriate, regulatory reporting.
Where an investigation identifies breaches of this Policy or systemic weaknesses within the firm’s procedures, AIO Legal Services shall implement appropriate corrective and preventive measures, including amendments to policies, additional training, enhanced supervision or improvements to internal controls.
The Director shall periodically review reports and trends relating to equality, diversity and inclusion to identify opportunities for continuous improvement and to ensure that the firm continues to maintain a professional, inclusive and respectful working environment.
Training and Awareness
AIO Legal Services recognises that promoting equality, diversity and inclusion requires ongoing education, awareness and individual accountability. The firm is committed to ensuring that all individuals acting on its behalf understand their legal, regulatory and professional responsibilities and are equipped to contribute to an inclusive, respectful and discrimination-free working environment.
Equality, diversity and inclusion training shall be provided to all personnel, as appropriate to their role and responsibilities. Training shall normally be provided:
- as part of the firm’s induction programme;
- following significant legislative or regulatory changes;
- where this Policy or related procedures are materially updated;
- where compliance monitoring identifies knowledge gaps or training needs;
- following complaints or incidents involving equality, diversity or inclusion issues;
- where an individual’s role or responsibilities change; and
- periodically as part of the firm’s continuing competence programme.
Training may include, where applicable:
- the Equality Act 2010 and protected characteristics;
- equality of opportunity and fair treatment;
- diversity and inclusive working practices;
- recognising and preventing discrimination, harassment, bullying and victimisation;
- unconscious bias and objective decision-making;
- reasonable adjustments and accessibility;
- equality in the provision of legal services;
- respectful workplace behaviour and professional conduct;
- reporting concerns and whistleblowing procedures;
- the firm’s Equality, Diversity & Inclusion Policy and related procedures; and
- relevant CILEx Regulation requirements and professional obligations.
The Compliance Manager shall maintain a Training Register recording all equality, diversity and inclusion training undertaken, including the date of training, subject matter, attendees, method of delivery, completion status and any follow-up actions or continuing competence requirements.
The effectiveness of training shall be reviewed periodically through compliance monitoring, complaints analysis, staff feedback, audits and policy reviews. Where training needs or recurring issues are identified, additional or targeted training shall be provided without undue delay.
The Director shall promote awareness of equality, diversity and inclusion throughout the firm by encouraging open communication, respectful behaviour and continuous professional development. All individuals are expected to participate fully in required training and to apply the principles of this Policy in their day-to-day conduct and professional decision-making.
Through ongoing training and awareness, AIO Legal Services aims to foster an inclusive culture, strengthen compliance with legal and regulatory obligations, and ensure that equality, diversity and inclusion remain embedded throughout the firm’s governance, workplace practices and delivery of legal services.
